BOOKING CONDITIONS

Black City Cars

1. Scope of Service

These Booking Conditions apply to all services provided by Black City Cars, including airport transfers, point-to-point journeys, hourly chauffeur services, long-distance travel, and special event transportation within the Province of Québec and beyond.


2. Vehicles & Conduct

Vehicles are provided based on availability. Images are for illustration purposes only.

  • Smoking and vaping are strictly prohibited
  • Seat belts must be worn at all times
  • Clients are responsible for any damage or excessive soiling

Cleaning or damage fees may apply at the discretion of Black City Cars.


3. Children & Child Seats

Children must be accompanied by a parent or legal guardian.

Child seats may be provided upon request, subject to availability.

While chauffeurs may assist, the client remains fully responsible for proper installation and compliance with applicable safety regulations.


4. Animals & Special Items

Animals and special items must be declared at the time of booking and are subject to approval.


5. Luggage

Each vehicle has a maximum luggage capacity.

Excess or undeclared luggage may result in:

  • Additional charges
  • Upgrade to a different vehicle (subject to availability)

6. Waiting Time

Flights are monitored in real time when flight details are provided.

Included waiting time:

  • Airport arrivals (YUL): 60 minutes
  • Cruise terminal / seaport arrivals: 60 minutes
  • FBO / private aviation: 30 minutes 
  • Non-airport pickups: 15 minutes

Rules:

  • Airport waiting time begins upon actual landing
  • Cruise pickups begin at scheduled pickup time
  • Additional waiting time is billed per minute

If the client cannot be reached within the included waiting time, the booking may be considered a no-show and charged in full.


7. Hourly Service & Time Billing

Hourly services are subject to a minimum booking duration of three (3) hours.

  • The full reserved time is billed once the booking is confirmed
  • Early release does not reduce the charge
  • Additional time is billed per minute

Extended minimums may apply during peak periods, special events, or high-demand dates.


8. Cancellation Policy

  • Local (<100 km): Free cancellation up to 60 minutes prior
  • Long-distance (>100 km): Free cancellation up to 24 hours prior
  • Cross-border travel: Free cancellation up to 24 hours prior
  • Special events (e.g. Grand Prix): Specific terms apply

Late cancellations may be charged up to 100% of the booking.


9. No-Show

Failure to meet the chauffeur within the included waiting time, without communication, will result in:

  • Full charge of the booking
  • Immediate release of the vehicle

10. Changes & Stops

Changes must be requested in advance.

  • Additional stops
  • Route modifications

may result in additional charges.


11. Additional Charges

Final pricing may include:

  • Waiting time
  • Extended service time
  • Additional stops
  • Route modifications
  • Parking & tolls
  • Airport / port fees
  • After-hours service (23:00–07:00)
  • Special event surcharges
  • Service fees form part of Black City Cars operational pricing and are not represented as gratuities payable exclusively to chauffeurs.

Time incurred due to:

  • Traffic
  • Border crossings
  • Delays beyond our control

remains fully billable.


12. Payment & Pre-Authorization

Black City Cars reserves the right to:

  • Pre-authorize a payment method
  • Charge payment in advance
  • Require full payment prior to service

By confirming a reservation, the client authorizes Black City Cars to charge the provided payment method for:

  • Base fare
  • Waiting time
  • Additional charges
  • Damages or incidentals

If a payment fails or is declined:

  • Full payment may be required in advance
  • Service may be refused or cancelled

Service is not confirmed until valid payment or authorization is secured.
Vehicles will not be dispatched without confirmed payment or valid pre-authorization.


13. Cross-Border Travel

Time spent at border crossings (including queue, customs, and inspection) is:

  • Outside our control
  • Fully billable

Billing begins upon arrival at the border queue.

Clients are responsible for ensuring all required documentation is valid.

Delays due to incomplete or invalid documentation remain fully chargeable.


14. Weather, Delays & Force Majeure

Black City Cars is not responsible for delays caused by circumstances beyond its control, including:

  • Severe weather
  • Road closures
  • Traffic incidents
  • Force majeure events

Such delays may result in extended service time, which remains billable.


15. Passenger Responsibility

Clients are responsible for:

  • Personal belongings
  • Any damage caused during the service

16. Affiliate Operators

Some services may be fulfilled by trusted affiliate partners.

Black City Cars remains the primary point of contact; however, partner terms may apply.


17. Right to Refuse Service

Black City Cars reserves the right to refuse or terminate service if:

  • Client behavior is unsafe
  • Client behavior is inappropriate
  • Conditions of service are not respected

18. Final Authority

Black City Cars reserves the right to interpret and enforce these Booking Conditions at its discretion.
